About this policy
TBP Partner Network is operated under The Book Publisher, a brand of Creative Ideator Inc.
This policy explains what information the TBP Partner Network collects through the partner application and partner portal, how that information is used, when it may be shared, how long it is kept, and how you can contact us about it.
This policy is version 1.0, effective August 4, 2026. It applies to https://partner.thebookpublisher.co and to the partner application process operated there.

Scope
This policy covers the partner application, email verification, application review, partner communications, and opportunity administration for the TBP Partner Network. The partner program is currently available in the United States and Canada.
It does not cover separate services offered on the main publishing website, or the independent websites, stores, and services operated by partners.
Information collected
We collect the information you provide in the application, information generated while your application is reviewed, and limited technical information needed to operate and secure the service.

- Physical and online operating presence
- Website and social links
- Organization description
- Service territory and service radius
- Audience and visitor information
- Sales channels
- Promotional capabilities
- Event capabilities
- Book-fair capabilities
- Distribution and wholesale capabilities
- Fulfillment and logistics capabilities
- Printing and production capabilities
- Media and promotional capabilities
- Referral participation preference
- Opportunity interests
- Application status, review history, and applicant communications
Location and mapping information
Where your application includes physical locations, we collect the location name, exact street address, city, state or province, postal code, country, and the latitude, longitude, and map-pin confirmation details associated with that address.
Exact location information may be used for:
- internal application review
- geographic matching
- delivery and logistics planning
- event planning
- distribution matching
- promotional-placement planning
- opportunity administration
Exact addresses and map coordinates:
- are not automatically published
- are not automatically displayed on the public portal
- are not automatically shared with authors, publishers, distributors, or other third parties
- may only be disclosed when appropriate for an approved opportunity and after the applicable partner approval process
Website and technical information
When you use the site we may collect IP address, browser and device information, request and error logs, and aggregate usage events needed to operate, secure, and improve the service. Analytics events record page and interaction context only.
Application answers, exact addresses, map coordinates, and uploaded file contents are never sent to analytics.
Email verification and security information
To confirm that you control the email address you provide, we send a single-use verification code and record the time it was sent, the number of resend and verification attempts, and any temporary lockout applied. Verification codes are stored only in a form that allows verification and are not written to application logs.
We also keep limited records used to prevent duplicate applications, abuse, and fraudulent submissions.
Uploaded files and photographs
You may upload exterior and interior photographs, media kits, rate cards, and supporting documents. Uploaded files are stored privately and are accessible to you and to authorized reviewers and administrators.
How information is used

- to review, organize, and decide on your application
- to detect duplicate applications, fraud, and misuse
- to communicate with you about your application and participation
- to match your organization with relevant program opportunities
- to administer approved opportunities
- to operate, secure, and improve the partner network
- to meet legal, accounting, and record-keeping obligations
Application review
Technology may assist with email verification, fraud prevention, duplicate detection, application organization, opportunity matching, and status management.
Final application decisions are made by a member of the TBP team.
Applications are not automatically approved or rejected, and no decision on your application is made solely by automated means.
Opportunity matching
We use your business type, roles, operating presence, location, service territory, audience, capabilities, and stated interests to identify whether your organization may fit an actual program need. Matching identifies possible fit only; it does not create an opportunity or an agreement.
Opportunity-specific contact sharing
When an opportunity requires an author, publisher, distributor, printer, or other participant to contact you directly, we ask you to approve that specific opportunity first. If you decline, your direct contact information is not shared for that opportunity, and declining does not end your eligibility for the network.
Service providers
Service providers act on our instructions under contract, receive only the information they need to perform their function, and are required to protect it and not use it for unrelated purposes.
Cross-border processing
Information may be processed or stored in Canada and the United States through our service providers and operational systems. Where information is processed outside your province, state, or country, it may be subject to the laws of that jurisdiction, including lawful access requests.
We take reasonable contractual and technical steps to protect information handled by providers in other jurisdictions, consistent with applicable Canadian and United States privacy requirements.
Data security
Application records and uploaded files are stored in access-controlled systems, protected in transit, and restricted so that applicants can reach only their own records and staff access is limited to authorized reviewers and administrators. Exact addresses and map coordinates are restricted to authorized reviewers and administrators.
No system can be guaranteed to be completely secure. If you believe your account or application has been accessed without authorization, contact us at the address below.
Data retention
We keep information only as long as needed for the purposes described in this policy. Our operational retention schedule is:
- Abandoned drafts and their uploaded files: 12 months
- Declined application records: 24 months
- Files uploaded to declined applications: 6 months
- Approved partner records: the participation period plus 24 months
- Fraud, accounting, dispute, security, contractual, and legal records: longer where reasonably required
- Verified deletion requests: targeted within 30 days, subject to legal, contractual, fraud-prevention, security, and operational exceptions
Retention periods may be extended where reasonably necessary to meet legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, preserve financial or audit records.
Applicant rights and requests
Subject to applicable law, you may ask us to access, correct, or delete your application information, withdraw an application, or withdraw optional marketing consent. Write to contact@thebookpublisher.co from the email address used in the application, and we may ask for information needed to verify your request.
Verified deletion requests are targeted within 30 days, subject to legal, contractual, fraud-prevention, security, and operational exceptions. Withdrawing optional marketing consent does not affect the transactional messages required to administer your application.
Children's information
The partner application is intended for authorized representatives of businesses and organizations and is not directed to children. We do not knowingly collect information from children through this service.
Policy changes
We may update this policy. The version and effective date at the top of this page always reflect the current policy. If a material change occurs before you submit an application, the current policy and Program Terms are shown again and your acceptance of the current versions is required — an earlier acceptance is never reused silently.
